In May 2024, our CEO announced a rebrand. New name, new logo, new color palette. For most people in the company, that meant a new email signature and a new badge. For me, it meant something scarier: reordering nearly everything that carried the old logo before Q3.
I should explain my role first. I’m the office administrator for a 400-person field services company. I manage all facilities and supply ordering—roughly $150,000 annually across 8 vendors. I report to both operations and finance, which is a polite way of saying two people can veto my purchase decisions. I’m not an engineer or a materials specialist. I’m the person who asks the questions engineers don’t have time to ask—and the person who eats the mistake when the questions don’t get asked.

The Easy Part: Rubber Stamps
The first order was routine. Our mailroom needed new rubber stamps with the new company name: “RECEIVED,” “DELIVERED,” a custom address stamp, and a date stamp for the front desk. Three vendors quoted. One dropped out when I asked about invoicing—they offered handwritten receipts only. I learned that lesson in 2020, when finance rejected a $2,400 expense because the vendor couldn’t provide a proper invoice. Not worth the risk for a $400 order.
The winning vendor delivered in six business days. Rubber stamps, done. Easy.
While I was at it, I checked USPS rates for the rebrand mailing we had planned. According to USPS (usps.com/stamps), as of January 2025, a 1-oz First-Class Mail letter is $0.73. Rubber stamps for the office, postage stamps for the mail—two different things, both on the same purchase order, both the easiest part of my month.
The Request That Tripped Me Up: “Dow Corning Extruded Polystyrene Insulation”
A week later, the maintenance manager put in a requisition for “dow corning extruded polystyrene insulation” for the warehouse wall. I typed the exact phrase into a search bar, expecting prices. Instead, I got a lesson in brand structure.
Dow Corning is (or was) Dow’s silicone business—the source of the silicone rubber, sealants, and other materials we buy. Extruded polystyrene insulation is a different product line, from a different division. Same corporate family. Different material entirely. The maintenance manager and I had both trusted a fuzzy memory of a brand name, and both assumed that the name would land on the right product.
We ordered the right thing in the end. But the confusion stuck with me: brand names evolve, product lines move, and trusting a name instead of a spec sheet is exactly how wrong products get ordered.
The Order That Bit Me: Silicone Cases
Two weeks later, IT ordered 80 rugged tablets for our field technicians. The cases were a separate line item, and I was the one choosing them.
The vendor quoted two options:
- Molded silicone case — $18 per unit
- PTFE-coated fabric case — $12 per unit
$6 per unit. On 80 units, roughly $480. Maybe 85, I’d have to check the PO. Either way, it was a clear savings, and I was already mentally spending it.
Before I ordered, I asked the vendor: “What’s the practical difference?” Their rep’s answer was patient, which tells me I wasn’t the first buyer to ask.
PTFE vs Silicone, in Plain Terms
I’m not a materials engineer, so I can’t speak to polymer chemistry. What I can tell you from a procurement perspective is the part that matters for a protective case:
PTFE is engineered for low friction and chemical resistance. You know it from non-stick pans. As a coating, it repels water and resists oil, which sounds perfect for outdoor equipment. But it’s slippery. And a thin fabric case isn’t what you want absorbing an impact anyway.
Silicone, on the other hand, is flexible and impact-absorbing, with a high-friction surface that grips—both the tablet inside and the hand holding it. It handles temperature swings and UV exposure. The vendor spec’d a Dow Corning silicone black compound for the case body—black-pigmented, which matters because white cases in an industrial setting last about a day.
I understood the difference. I just didn’t believe the difference was worth $6 per unit.
I ordered samples of both. In my climate-controlled office, they looked functionally identical. The PTFE-coated case was lighter and slightly stiffer; the tablet slid in fine. The silicone case had better grip, but I told myself grip was a nice-to-have. The $480 savings felt real and useful.
The upside was $480 in savings. The risk was that cases would fail in conditions I couldn’t reproduce in my office. I kept asking myself: is $480 worth the chance of losing even one $1,400 tablet?
The answer I gave myself was yes, because I figured the chance was low. It wasn’t.
The Turning Point
October. A steady drizzle. A technician on a rooftop taking readings, and rain had turned the PTFE-coated case into exactly what PTFE is designed to be: slippery. He had just put the tablet away when it slipped out of his hand. A thin fabric case doesn’t absorb much of a drop, either. The tablet hit gravel face-down, and the screen cracked along its full diagonal. Replacement cost: $1,400.
The technician wasn’t careless. He said the case felt like trying to hold a wet bar of soap. I’ve since read that PTFE’s defining property is its low coefficient of friction—which makes it great for seals and non-stick surfaces, and wrong for a case that has to stay in a gloved hand on a wet rooftop.
The PTFE case was fine for the two months it sat in offices and trucks. It failed in the first week of real field use.
Nobody in my office could tell how different the two materials were. The field told us in one morning.
What I Did Next
I re-ordered the Dow Corning silicone black version: 80 cases plus 15 spares at $18 per unit. I spent about $500 more than the “cheap” option. Put another way, I spent about a third of one tablet replacement to prevent the next one.
I also asked the vendor for the technical data sheet, which I should have done originally. It listed durometer, temperature range, and coefficient of friction, all in plain numbers. The data had been available the whole time; I just hadn’t asked.
Was it worth it? Yes. Was there a trace of stubbornness in my original decision? Probably. “Good enough” is a dangerous phrase when someone else is the one carrying the equipment.
Lessons for Anyone Buying Materials Without a Materials Degree
Ask the dumb question early
“What’s the practical difference?” felt like a question I should have known the answer to. In practice, asking is the entire job. The vendor was happy to explain—better to answer questions up front than to process a return.
Match the material to the environment
PTFE is not a bad material. It’s the wrong answer for a drop-protection case. It’s a great answer for chemical seals, high-heat gaskets, and low-friction surfaces. Material selection is about matching properties to the job—specs matter more than brand familiarity.
Verify claims
When a vendor says “heavy-duty,” “industrial-grade,” or “environmentally friendly,” ask for the data sheet. Per FTC guidance (ftc.gov), performance and environmental claims must be truthful and substantiated. A good supplier hands you the spec sheet before you finish the question.
Brands evolve. Spec sheets don’t lie.
The Dow Corning name covers a specific set of silicone products, but the extruded polystyrene insulation we sourced lives in a different product line. Check the spec sheet, not your memory of a brand.
The Bottom Line
The fundamentals haven’t changed since I took over purchasing in 2020: choose the material that fits the job, and cost the purchase over its full life, not just its unit price. What has changed is how easy it is to buy the wrong thing. Cheap options are one click away—and so is a $1,400 mistake.
